Daily Meeting Package

We offer an all-inclusive value driven daily meeting package that incorporates everything you need to hold a successful event. Full-Day Meeting Packages are available for programs occurring between 8am-5pm. Half-Day Meeting packages are available for programs occurring between 8am-12pm or 1pm-5pm. Additional services such as breakout rooms, private dining, exhibit tables, and poster kiosks are also available.

Virtual Meeting Package

Our Virtual Meeting Package is designed to provide you with all the tools you need to successfully host your event in a fully virtual format. Our Media Services technicians manage the technical logistics in keeping with all today’s best practices, so that you can concentrate on hosting an engaging program.

Package includes:

Pre-Production

  • Generating and managing Livestream, Zoom meeting, and/or Zoom webinar links with tailored security and feature settings to match the client’s vision.
  • Managing registration links and roster through Zoom logins as well as integrating registrations from other platforms through client-shared CSV files.
  • Establishing and tracking program deliverables such as a run of show, presentation materials, and registration information.
  • Troubleshooting pre-recorded, client-generated content to ensure virtual compatibility.
  • Pre-building session-facilitator requested Zoom polls.
  • Facilitating run-throughs and tech rehearsals, as requested, to ensure facilitator comfort with Livestream or Zoom platform, and finalizing a detailed technical agenda.

Production:

  • Live dedicated production support during program that oversees all technical matters throughout the program.
  • Creating and maintaining back-channel communication for the duration of the event with all approved personnel (techs, moderators, facilitators, stakeholders).
  • Managing production elements during program delivery such as live switching between pre-generated and live content, and transitions into and out of intermissions with background music.
  • Managing sessions facilitator media and slides as requested.
  • Monitoring all feeds and recordings during each program day.
  • Troubleshooting connection issues for individual participants.

Post-Production:

  • If recorded, providing recordings of Livestream or Zoom sessions to client for editing and distribution.
  • Providing attendee data and attendance reports detailing login/logout data of participants.
